Bylaws

ARTICLE I: NAME

The name of the organization shall be the Mesa del Sol Ladies Golf Club, a non-profit organization.

 

ARTICLE II: OBJECTIVE

The objectives of the organization are:

– Promote good fellowship among women golfers

– Encourage knowledge and adherence to the rules during the season and year-round.

 

ARTICLE III: MEMBERSHIP

This organization shall be open to all women golfers who:

Abide by the rules and regulations of this organization

Establish and maintain a Mesa del Sol handicap

 

ARTICLE IV OFFICERS

Section 1. The officers of the club shall consist of President, Vice President, Secretary and Treasurer

Section 2. The Executive Board shall consist of the officers of the club plus the Tournament Chairperson for Thursday and Monday and Handicap Chairperson.

 

ARTICLE V: MEETINGS

Section 1. Regular meetings of the club will be held as required,

with a minimum of two meetings per season.

Section 2. Special meetings may be called by the President or by any two (2) members of the Executive Board.

Section 3. A quorum of members (25% of the membership) must be present at any general membership meeting at which a vote is to be taken. Only members in good standing may vote.

Section 4. Executive Board meetings shall be held before the monthly membership meetings and shall be called by the President or by any two (2) Executive Board members. Minutes of these meetings will be read at the following Board meeting.

Section 5. All meetings will be held in accordance with Roberts Rules of Order.

 

ARTICLE VI: ELECTION

Section 1. In February the President shall appoint a past president as Chairperson of the nominating committee who will appoint at least two (2) members-at-large to the committee.

Section 2. The nominating committee shall post its slate on the club bulletin board and email to members at least one week prior to the March meeting.

Section 3. Election of Officers shall be held at the March meeting. Nominations may be received from the floor, provided such nominees accept. If more than one person is nominated for the office, the election shall be by ballot only. All others may be by voice vote.

Section 4. The new Officers shall work with the retiring Officers during April and assume their duties on May 1st.

 

ARTICLE VII: GOVERNMENT

The EXECUTIVE BOARD

Has full responsibility for the management of the Mesa del Sol Ladies Golf Club including, but not limited to: Property, Funds and Activities and may fill vacancies in the Offices of the Vice President, Treasurer and Secretary.

PRESIDENT

The President shall:

  • Preside at all membership meetings and Executive Board Meetings
  • Appoint all committee chairpersons and acts in an ex-officio capacity on all Committees
  • Review bank statement monthly and assist with the year-end audit
  • Perform all other duties incident to the office.

VICE PRESIDENT

In the absence of the President, the VICE PRESIDENT shall:

  • Perform the duties of the President.
  • Additionally, she shall be responsible for:
  • Ordering of awards and trophies

SECRETARY

The Secretary shall:

  • Record the minutes of all member and Executive Board meetings and
  • Be responsible for all correspondence
  • Be responsible for the printing and distribution of the club handbook

TREASURER

The Treasurer shall:

  1. Keep a full and accurate account of all monies received and deposited in the name of the club in depositories approved by the Executive Board
  2. Disburse funds only as directed by the Executive Board or in accordance with the approved budget – two elected officers’ signatures required on all checks
  3. Prepare the annual budget and submit to the Executive Board for approval
  4. Present a Financial Statement at each membership and Executive Board meeting
  5. Provide copy of Bank Statement to President monthly
  6. Prepare an annual audit in March or prior to leaving office with the assistance of the President
  7. Collect all annual dues

TOURNAMENT CHAIRPERSONS

The Tournament Chairpersons shall:

  1. Be responsible for the Mesa del Sol Cup (match play tournament), Club Championship (stroke play tournament) (Thursday Tournament Chair)
  2. Be responsible for all weekly play/tournaments
  3. and insure the eligibility of all competitors Monday and Thursday tournament Chairpersons.
  4. Post adjusted scores to GHIN
  5. Appoint and supervise assistants, as required

HANDICAP CHAIRPERSON

The Handicap Chairperson shall:

 

  • Maintain all handicap records and files in accordance with USGA and AGA, requirements
  • Issue temporary handicaps to new members, as required.
  • Make annual peer review of players

All other Chairpersons shall act as directed by the President.

 

ADDITIONAL COMMITTEE DESCRIPTIONS

Social Chairperson

  • Attending all executive meetings
  • Planning all social events regarding food, place and cost
  • Presenting all recommendations to the Executive Committee
  • Advising all participants

 

AGA Representative

  • Will call AGA for answers to any questions that may arise regarding Rules, Handicaps etc.
  • Attend AGA meetings if there is interest
  • Bring information to the Club from AGA on issues that affect MDS Ladies Golf
  • Medallion will be run by the AGA representative or her designate
  • Advise AGA of changes in officers each year

 

Sunshine Chairperson

  • Responsible for recognizing club member’s family matters by way of a card or a phone call.
  • Updating members on these issues

 

ARTICLE VIII: DUES

Section 1: All membership dues are due and payable on November 1st. and become delinquent on November 15. After November 15 delinquent members will be dropped from membership/handicap rolls. Refunds may be allowed prior to November 15th at the discretion of the Executive Board. Annual membership dues shall be paid prior to the first event played in by an individual.

 

ARTICLE IX: AMENDMENTS

These bylaws may be amended, or new bylaws adopted at any membership meeting by an affirmative vote of two-thirds of all members present, and the proposed amendments or new bylaws having been presented at least 14 days prior to the meeting.
